Use Resource Planning

Resource Planning shows how much work is scheduled for your team, who's overloaded, and who has spare capacity. You can assign existing tasks to a week and to people, or create new tasks directly. The Insights and Planning tabs connect the analysis with concrete weekly scheduling.

Prerequisites
  • You're signed in and have selected the organization you want.
  • The Resource Planning module is available for your organization.

Open Resource Planning and pick a week

Open Resource Planning in the navigation and check the active organization. Use the arrows to switch calendar weeks; Today takes you back to the current week. Pick the week you want to schedule tasks for first.

Check team utilization in the Insights tab

Insights shows team utilization, overloaded and underutilized people, and tasks not yet scheduled. Below that you'll find the comparison of planned versus logged hours per person, the capacity forecast, and lists of people who are overloaded or have spare capacity.

Assign tasks to a person

Open Assign, choose an existing task, and set people, weekdays, and hours per day. Use New Task to create a task directly within planning. After saving, check the utilization of the people involved.

View and filter the weekly plan

In the second tab, Planning, you switch between Timeline, Day view, and Heatmap. The filter offers Person and Category. Below the weekly plan you'll find unscheduled tasks, which you can click to assign directly.

Keep planning around spare capacity

Choose a person from the underutilized list and check their tasks and weekly capacity. Schedule suitable work, or redistribute existing assignments. Then compare planned hours against available capacity.

Frequently asked questions

Which view should I use first?

Start with Insights to spot bottlenecks and spare capacity. Switch to Planning to see the distribution across people and weekdays.

Can I create new tasks directly in Resource Planning?

Yes. Open Assign and choose New Task. Give it a name and set category, people, days, and hours per day.

Are planned hours automatically logged work time?

No. Planned hours are based on the estimated effort of scheduled tasks. Actual values come from time tracking.

Which organization does planning apply to?

Planning loads the members, capacities, and tasks of the active organization. Check the organization switcher before assigning tasks or changing capacities.
