Open Resource Planning, choose the week you want, and stay in the Insights tab. Use the person filter to narrow the members shown.
Read the metrics
Utilization sets scheduled task hours against weekly capacity. With 30 scheduled hours and 40 hours of capacity, for example, that's 75 percent.
- Team utilization
- Sum of scheduled hours divided by the capacity of the people shown.
- Overloaded
- People with more than 100 percent scheduled utilization.
- Underutilized
- People with less than 50 percent scheduled utilization.
- Unscheduled tasks
- Tasks that aren't done yet and have no calendar week assigned. This metric is organization-wide and isn't limited by the person filter.
Tell planned and actual apart
The Utilization per person — planned vs. actual comparison sets scheduled task hours against the hours actually logged for the week. So a high planned value doesn't mean that work has already been done or logged.
Read the capacity forecast
The capacity forecast shows the average planned utilization for each calendar week shown. It uses existing weekly assignments and estimated task hours. It isn't an AI prediction of additional work. Watch the week labels: the current range also includes past weeks and doesn't follow the week selected above. Person and category filters currently don't limit this chart.
Save weekly capacity
Open a person via their name or row. Without a custom setting, 40 hours per week is assumed.
- In the person dialog, check Weekly capacity and that week's tasks.
- Adjust the hour value with plus or minus.
- Click Save capacity to apply the setting.
- Then check utilization with the changed capacity.
Account for time off in the view
In the person dialog, you can mark individual weekdays as Away. That reduces the effective capacity shown there. These markers are currently only held on the open page; they aren't saved vacation or time-off planning, and they don't change the organization-wide stored weekly capacity.
Redistribute work
Check the Overloaded and Underutilized lists and open the people involved. Compare their tasks, then reschedule work via Assign or Reassign.
Frequently asked questions
Why is a task counted in full for several people?
With several people assigned, the estimated effort counts in full for each person. It isn't automatically split between them.
Why does utilization stay the same despite a category filter?
The category filter limits the visible tasks in the planning views. Capacity metrics aren't recalculated by category as a result.
Does a marked absence persist after a reload?
No. Save lasting changes via Save capacity. Individual absence days are currently just a local setting on the open page.
