Use Timeline, Day view, and Heatmap

In the Planning tab, you view the same weekly schedule as a timeline, a day view, or a heatmap. The person and category filters let you focus on the parts of the plan that matter to you.

Prerequisites
  • You're signed in and have selected the organization you want.
  • The Resource Planning module is available for your organization.

Open Planning

Open Resource Planning, choose a calendar week, and switch to the second tab, Planning. Use the view picker to switch between Timeline, Day view, and Heatmap.

Use Timeline for task distribution

Timeline shows tasks as bars along the weekdays, grouped by person. This shows which tasks are planned on which days. Click an entry to check its details or reassign it.

Use Day view for individual weekdays

Day view shows each person's individual days with tasks and hour values. Tasks appear on their stored planning days. Saturday and Sunday are grayed out; the assignment dialog works with Monday through Friday.

Read the heatmap correctly

The heatmap condenses utilization per person and day into colored cells. If logged hours exist for a day, those are used. Otherwise, one-fifth of the planned weekly hours serves as the daily value. So the heatmap doesn't exclusively reflect the actual distribution of the chosen task days.

Filter by person and category

Open Filter and choose the people or categories you want. Multiple selections are possible. Use Clear all to reset the filters.

Person
Limits the visible members and the utilization metrics based on those members.
Category
Limits the visible tasks for those people. Weekly capacity, utilization metrics, and the capacity forecast aren't reduced to these categories.

Move from the weekly plan to assignment

Click a task under the Unscheduled area below the view. The assignment dialog picks up the task; add people, days, and hours, and save the plan.

Frequently asked questions

Why do I see a task from a different week?

Tasks with the In progress status also show up in people's task lists, even if they aren't assigned to the selected week. Check the week assignment in the assignment dialog.

Why doesn't an unscheduled task disappear with the filter?

The Unscheduled list currently stays organization-wide. Person and category filters limit the visible people, or their tasks, in the plan.

Which view fits which purpose?

Use Timeline for the distribution across the week, Day view for individual tasks per day, and Heatmap for a compact utilization comparison.
