Schedule an existing task
First choose the target week in Resource Planning. The assignment applies to that week.
- Click Assign and choose Existing task.
- Search for the task name and pick the matching result.
- Check the category and choose one or more people under Assign to.
- Under Days, choose the working days you want, Monday through Friday.
- Enter hours per day and check the resulting total effort.
- Click Schedule and check the task in the weekly plan.
Account for hours and several people
Three chosen days at two hours each give six estimated hours. With several people, those six hours are counted for each assigned person. The assignment updates the task's week, people, category, days, and estimated effort; for an existing task it doesn't create a copy.
Create a new task directly
If the task doesn't exist yet, you can create it in the same dialog.
- Open Assign and switch to New task.
- Enter a clear task name and choose a category.
- Choose the people, working days, and hours per day.
- Click Create. The new task is scheduled for the chosen week.
Work through unscheduled tasks
Switch to the Planning tab. Below the weekly plan, the Unscheduled area appears for matching tasks. It contains open or in-progress tasks with no week assigned, as well as urgent or overdue tasks with no assignee. Click a task, check the pre-filled values, and schedule it. This list isn't the same as the Unscheduled tasks metric in Insights.
Change an assignment or remove it from the week
Click a scheduled task and choose Reassign to adjust people, days, or effort. Remove clears the week assignment; the task itself isn't deleted. If the task has the In progress status, it can still appear in the planning view.
Frequently asked questions
Can I save without a person?
The assignment needs at least one person selected. For an existing task, a search result must also be chosen; for a new task, a name must be entered.
Can I search for completed tasks in the dialog?
The search in the assignment dialog only offers tasks that aren't done. Search as specifically as possible by name if you don't see the task right away.
Why don't the displayed daily hours exactly match the days I chose?
Days control where the task is placed. Combined daily values are partly calculated from the weekly effort. The heatmap can also use logged time. Check the task dialog for the specific assignment.
