Set up weekly KB synthesis and adopt insights

Weekly KB synthesis (beta) turns insights from weekly reviews into a structured draft. It describes win patterns, risks, decisions, and lessons learned. The draft appears in the admin chat and only becomes a Knowledgebase document once you edit and adopt it.

Prerequisites
  • You're an Owner or Admin, to set up the feature.
  • Chat and Knowledgebase are enabled for the organization.
  • Weekly reviews exist for the period. Setup requires the consent described in the form.

Enable weekly KB synthesis

The settings belong to the organization and apply to its weekly synthesis.

  1. Open Organizations and the organization you want.
  2. Switch to the AI tab and find Weekly KB synthesis (beta).
  3. Enable the feature and set the day of the week, time, and time zone.
  4. Read the consent text and confirm it the first time you enable it.
  5. Save the settings.

Understand what information is used

The synthesis evaluates the period's weekly reviews: among other things, mood, What went well, What didn't go well, next focus, and highlights. Context about tasks and completed milestones is added. This can process names and personal reflections; it doesn't broadly observe every activity of the team.

Review the draft in the admin chat

After the scheduled run, open the admin channel in chat. The weekly synthesis draft appears there with four sections: Success Patterns, Risk Patterns, Decision Log, and Lessons Learned. The admin channel is meant for Owners and Admins. Check the claims and sources; an AI-generated interpretation isn't yet a confirmed fact.

Adopt insights into the Knowledgebase

Only adopt content that's been reviewed and is suitable for the intended readers.

  1. Check the draft for factual errors, unclear conclusions, and personal details.
  2. Open a suitable Knowledgebase document, or create a new page.
  3. Transfer the relevant insights and add the period and traceable sources.
  4. For mistakes, describe the process and the fix, so the insight stays useful later.
  5. Check the saved article. It's now part of the documented organizational knowledge.

Change the schedule or turn synthesis off

Open the organization's AI tab again. Adjust the schedule, or turn weekly KB synthesis off, and save. Already published drafts and manually created Knowledgebase documents aren't removed by this.

Frequently asked questions

Does the AI automatically write finished articles into the Knowledgebase?

The current flow publishes a draft in the admin chat. Review and adoption into a Knowledgebase article happen manually.

Why isn't there a draft this week?

No draft is generated without weekly reviews for the period. Also check that it's enabled, consent was given, and the day and time zone. If those are all in place, support can check the scheduled run.

Who can read the draft?

The draft goes to the admin channel for Owners and Admins. If you move content into the Knowledgebase, you're turning it into organizational knowledge — check beforehand which personal information belongs there.

What does it mean here that the AI learns from weeklies?

It summarizes existing reflections and project context into possible patterns and insights. Lasting team knowledge comes from the reviewed documentation. This feature isn't a promised training of the underlying AI model.
