Connect and disconnect a mailbox for CRM

1. Open Account.
2. Click Open next to the Connect mailbox area.

Here you see existing connections. You set up the calendar connection separately, in calendar settings.

Project Manager only reads email traffic with people saved as a CRM contact (a whitelist, not a full mailbox scan). Only the subject, sender, and date are used, never the full text or attachments.

1. Click Connect Outlook.
2. Sign in with Microsoft and check the requested permissions.
3. Grant access. You're then returned to the mailbox overview and see the Outlook connected confirmation.

An Outlook connection can read and send emails.

IMAP works with any provider that offers IMAP access, for example IONOS, Strato, all-inkl, Hetzner, or Gmail with an app password.

1. Click Connect IMAP mailbox.
2. Enter the IMAP server and choose the port.
3. Choose the encryption: SSL/TLS (port 993) or STARTTLS (port 143).
4. Enter your username and password. For Gmail, iCloud, or Outlook.com, use an app password.
5. Enter your mailbox address under Email address. This is only needed if the username isn't an email address.
6. Click Connect. Project Manager checks the connection ("Checking connection…").

The password is stored encrypted and deleted when you disconnect. An IMAP connection is for reading; Project Manager doesn't send emails through it.

Each connection shows the address, provider, connection status, granted permissions (Read, Send), and the last sync. On an error, you'll see Last sync failed. Common messages when connecting:

• Sign-in failed: the username or password is wrong. For Gmail and similar providers, check your app password.
• Server unreachable: check the server, port, and encryption.
• This server isn't allowed: only publicly reachable servers are permitted.

1. Click Disconnect next to the connection.
2. Confirm the dialog. Access is revoked immediately and mail syncing stops.

For Outlook, you can additionally revoke the app's access in your Microsoft account's permissions. Disconnecting doesn't delete any emails in your mailbox.
