Open the right view
Open CRM in the navigation. The CRM tab shows the pipeline as a board or a list. Customers shows CRM contacts across every stage, including prospects and lost leads. Network opens the separate contact directory. Dashboard analyzes the organization's CRM data.
Create a lead
Click New Lead. You can enter details from scratch, or pick an existing CRM contact to pre-fill the form. Either way, a new lead is created; picking a contact doesn't open the existing record.
- Enter the company name and choose the stage you want.
- Add a contact person with salutation, first and last name, plus email, phone, and website.
- Choose the source and the person responsible. Add revenue and a revenue interval if known.
- Record important information in the notes.
- Save and open the new card to fill in further details and the next step.
Maintain pipeline and ownership
Drag a card into another stage. The change is saved and logged in the activity history; matching automations can be triggered by it. While dragging, a bar with team members also appears. Drop the card there to change ownership instead. You can also edit stage and ownership on the detail page.
Configure stages, colors, and order
Open the gear icon and the Stages tab.
- Add a stage, or rename an existing one.
- Choose its color and reorder stages with the arrow buttons.
- Optionally add a win probability between 0 and 100 percent.
- Save the settings and check the board.
Search and filter
Switch between board and list as needed. Search covers company, contact name, and email. Filters narrow by stage, source, owner, tag, priority, or Lead Engine category. Search, view, and filters are kept in the URL, so another authorized team member can open this exact view via the link.
Keep working on a lead
Open a card. Maintain core details, tags, and notes, log activities like calls or meetings, and use linked projects. The Lead Engine tracks who owns the next step and reaction deadlines. You can review and edit email drafts. Export and delete are also available on the lead. CRM data belongs to the organization. In the pipeline and lead details, Owners and Admins see every lead; other members see unassigned leads plus their own and those of subordinate team members. The customer list and CSV export are currently broader in scope and include organization data. An assignment is therefore not a hard confidentiality boundary throughout.
Use Customers and Network
In the Customers tab, you search and sort CRM contacts and open their details. For freelancers, partners, vendors, agencies, or other contacts, switch to Network, open the create-contact form, and add name, type, contact details, and, if relevant, company, specialty, tags, and notes. A network entry alone doesn't create a lead. Moving a lead to the default Active stage, on the other hand, can automatically create a network contact or link a matching existing one. That doesn't imply general syncing of every field.

Common pitfalls
Empty a stage before removing it
Removing a stage doesn't automatically move its leads. Assign affected leads to a remaining stage first. Otherwise, cards can be missing from the board; look for them in the list view.
Custom stages have limits
A newly created stage named Active doesn't take over the role of the default Active stage. Auto-onboarding, CSV import, and the dashboard funnel use fixed default mappings. Keep this in mind in the relevant detailed guides.
Frequently asked questions
Does Customers only show won customers?
No. The tab shows CRM contacts from every stage. The default Active stage marks active customers.
Why is a lead missing from the board?
Check the organization, search, and filters. If its stage was removed, look for it in the list and assign it to an existing stage.
Is picking an existing contact a link?
In the New Lead dialog, it's just for pre-filling. Saving creates another lead. To edit the existing lead, open its card or customer row instead.
