Open settings
Click the bell icon labeled Status notifications at the top right of the board. It opens one row per status — default statuses as well as your own columns.
Set recipients per status
Each row has two searchable multi-selects:
- People: choose individual team members directly.
- Roles: fixed organization roles (Owner, Admin, Member) or custom roles — this selection doesn't grant a new role, it only notifies whoever actually holds that role at the moment of the status change.
If you remove every person and role from a status, no rule applies to it anymore.
How and when notifications happen
A notification is only created on an actual status change, not when a task is created directly in that status. Recipients get an in-app and push notification with the task name and the old and new status.
Whoever moves the task into the watched status themselves is excluded from the notification for that specific change, even if they're listed as a recipient.
Save the rules
Click Save. The footer shows the number of statuses with at least one recipient set.
Frequently asked questions
Who can set up status notifications?
Any organization member with access to Tasks — this isn't a setting restricted to Admin or Owner.
Do I get a notification myself when I reach a watched column?
No, the person moving a task is always excluded for their own change.
What happens if a notified person leaves the organization?
Recipients are recalculated from the current member list on every status change. People who've left automatically stop receiving notifications as a result, with no need for you to adjust the rule.
Does a rule also apply to custom columns?
Yes, custom columns appear as their own row, just like the default statuses.
