Switch between kanban and list
The toggle at the top right switches between kanban view and list view. The list also gets a status column with a filter, and tasks with the List only status are only shown here — they don't appear in any column on the kanban board.
Drag and drop tasks
Drag a card into another column to change its status — or, alternatively, choose the new status in the task detail's properties area. Both ways apply immediately, with no save button.
The Done column initially loads 20 tasks; Show more completed tasks loads 20 more each time.
Search and filter
The magnifying glass icon opens a search field that searches task number, title, and description. The filter icon opens a panel with several criteria that can be combined at once:
- Priority, Assigned to, Project, Due date (Overdue, Due today, Due this week, Due this month), and Tags (multi-select, a task must carry every chosen tag).
- Status only in the list view — on the kanban board, every status is already visible as a column anyway.
- Customer only if your organization already has CRM customers.
A counter on the filter icon shows the number of active criteria; Reset all clears them again.
Manage categories
The tabs above the board filter by category and show the number of open (not done) tasks per category. Use the plus icon to open Manage categories: add a new category, reorder with the arrows, or remove one.
The default categories Marketing, Operational, Coding, Ideas, and Bugs are just a suggestion — every organization can freely adjust them. The list is a shared organization setting, not restricted to Admin or Owner.
Create custom columns and change their order
The gear icon opens Configure columns, with a shared list made up of the four default statuses and your own columns.
- Reorder entries up or down with the arrows.
- Remove a default status via the X — hidden default statuses appear below as a chip and can be added back with a click.
- Click Add column to create your own column with a name and one of ten colors.
- Click Save.
The order and custom columns apply to the whole organization.
Be careful removing a custom column
Removing a custom column doesn't ask for extra confirmation in the UI — saving the column settings immediately moves every task in that column to the Backlog status, with no further confirmation.
Import a task from the list into kanban
For a task with the List only status, an arrow icon labeled Import to kanban appears on the right in the list view. Choose a status and category there — the task then appears as a normal card on the board.
Frequently asked questions
Do custom columns and categories apply to the whole team?
Yes. Both are shared organization settings that any member with access to Tasks can change.
I hid a default column — how do I get it back?
Open Configure columns. Hidden default statuses appear below as clickable chips.
What happens to tasks when I delete a custom column?
They move to the Backlog status the moment you save, with no confirmation prompt in the UI beforehand.
Why do I see a task in the list that's missing from the kanban board?
Either it has the List only status, or an active filter is hiding it on the kanban board.
