Create a folder
Open Files and choose + New or New folder. Give it a name, check its intended place in the folder structure, and choose visibility. Confirm the dialog and check whether the folder appears or an error is shown.
Restrict visibility by role
Under Visible to, choose either All members or Specific roles. Enable the intended custom access roles. Owners and Admins keep access regardless of this choice. The restricted option isn't available without existing custom roles.
Edit name and sharing
Open the folder menu and the edit action. Adjust the name or role sharing and save. A changed visibility also affects who can open files via an app link. Check the sharing of the actual target folder; a folder name alone doesn't protect files.
Move files
Drag an existing file onto a target folder. For several files, select the entries and use Move in the selection bar. You need access to both the source and target folder, plus edit rights: your own upload, or Admin/Owner access. Check the target folder and the confirmation afterward.
Enable an invoice inbox if needed
In the folder dialog, you can mark a folder as an invoice inbox. Supported receipt files uploaded or moved there can be automatically analyzed and created as receipts in Accounting. Check the result there and add any missing details. A successful upload doesn't guarantee a successful AI analysis. Leave this option off for regular storage folders.
Remove a folder
The delete action also affects the files inside it. Read the confirmation and move needed content beforehand. Don't treat this like moving a single file to trash: there's no equivalent restore flow here for removed folders. System folders and protected accounting files can prevent deletion.

Why is New folder missing?
Creating and editing folders is reserved for Owners and Admins. Check your role in the active organization.
Can I hide a folder from the Owner?
Choosing specific access roles doesn't restrict Owners and Admins.
Is a link enough to open a restricted folder?
No. The recipient still needs the matching access rights.
