Time tracking: keep a timesheet for the team

The timesheet shows a week with every organization member as a row and the weekdays as columns — for quickly backfilling entries and checking who worked when and for how long.

Prerequisites
  • You're signed in and your organization has the "Time Tracking" module enabled.

Switch weeks

Use the arrows on either side of the date display to navigate to the previous or next calendar week. The Monday-to-Sunday date range and the ISO week number are shown.

Read the table

Each row is an organization member, each column a weekday. A cell with entries shows the task name and duration for each entry; an empty cell shows a + icon on hover, for creating a new entry. The table always shows every member, regardless of your own role.

Add an entry

  1. Clicking the + in the cell you want opens the Add entry dialog with user, date, duration (hours), and task (optional), plus a description.
  2. User and date are pre-filled when creating (based on the cell you clicked) and can no longer be changed.
  3. Duration is entered in hours (e.g. 2.5), in steps of 0.25.
  4. Save creates the entry; a new entry technically always starts at 9:00 AM and lasts the entered number of hours.

Edit or delete an entry

Clicking an existing entry opens Edit entry — user and date are locked here, only duration, task, and description can be changed. Hovering an entry shows a pencil and a trash icon; the trash icon asks for confirmation once more before deleting for good.

Log time for other people

The User field in the Add entry dialog lets you pick any member. The entry is only saved under that name, though, if you're an Owner or Admin of the organization — with other roles, saving fails with an error message, even if a different user was chosen.

Common pitfalls

  • Only Owners and Admins can log for other people

    If a member without the Owner/Admin role picks a different user and saves, an error message appears and the entry isn't created. Any member, on the other hand, can always create their own entries.

  • User and date can't be changed after creation

    When editing an existing entry, the user and date fields are locked. To assign an entry to a different person or day, it has to be deleted and created again.

  • Deleting asks for confirmation, then the entry is gone for good

    The trash icon on an entry opens a confirmation dialog; once confirmed, the deletion can no longer be undone.

Frequently asked questions

Why can't I save an entry for a colleague?

That's reserved for Owners and Admins. With a different role, you can still pick the colleague from the dropdown, but saving then fails.

Does every member see the whole table?

Yes, the timesheet always shows every organization member as a row, regardless of your own role.
