Log project expenses and calculate markups

Under Budgeting → Expenses, you log costs in addition to work time, for example travel or material costs. With a project assigned, they feed into that project's calculation; Billable and Markup determine their computed share of revenue.

Prerequisites
  • You have access to Budgeting. Creating an expense requires a role above Viewer.

Log an expense

Open Expenses and click Log expense.

  1. Enter a clear description and the amount in euros.
  2. Choose the date.
  3. Assign the expense to a project if it should count toward that project's profitability.
  4. Check the Billable option, which is enabled by default.
  5. If you plan to pass it on, enter a markup in whole percent.
  6. Save and check the entry in the list.

Tell billable and markup apart

A €100 expense stays a €100 expense internally. If it's billable with a 20% markup, €120 in revenue is counted for profitability. If it's non-billable, it produces €100 in cost and no revenue from that line item. Markup isn't a tax setting here.

Check the project assignment

An expense with no project stays in the expenses list but isn't assigned to any project's margin. The current profitability UI also hides projects with no logged hours. Pure expense-only projects don't yet appear in its table and totals as a result. Expenses also don't increase the time-based budget usage in the overview.

Place receipts and deletion correctly

The simple Budgeting dialog has no receipt upload. Use the Accounting flow for receipts and their assignment. Saved expenses can be removed via the trash icon on the row; it may only become visible on hover. Check the item first, since there's no trash with restore offered here.

Frequently asked questions

Is a billable expense invoiced immediately?

No. The toggle affects how the expense is valued. It confirms neither invoicing nor payment.

Can I upload a receipt here?

Not in the simple expense form. Use Accounting's receipt features for that.

Why doesn't the usage bar move after an expense?

The budget overview calculates usage from billable time. Expenses are factored in separately, in profitability.
